We collect Personal Information from you when you submit it into our consultation booking system and streamlined forms. We may also collect additional Personal Information when you interact with our client service via chat, telephone, email or appointments. COLLECTION NOTICE (IDENTITY DOCUMENT VERIFICATION)
This notice explains how Swift Co Pty Ltd (ABN 33 669 355 677) (we, us, our) will collect, use, disclose and store your personal information to verify your identity document(s). We will only do this with your express consent.

We are bound by the Privacy Act 1988 (Cth) (including the Australian PrivacyPrinciples (APPs)) and the Identity Verification Services Act 2023 (Cth) (IVS Act). We handle personal information in accordance with our obligations under these laws. Why is your personal information being collected?
We collect your personal information to verify your identity so we can provide our products, services and offerings, including: Notary Public services

How will we collect and handle your personal information?We may collect your personal information through our website, booking platforms, email and telephone calls.Where you consent to identity verification, the information you provide will be checked against official records held by the government agency responsible for issuing the identity document (the document issuer), using a government-run identity verification system.That system will provide us with an outcome indicating whether the information you provided matches the records held by the document issuer. We do store copies of your identity documents after the verification check is completed. This information will be retained indefinitely.

How is your personal information handled within the identity verification process?A government-run identity verification system facilitates secure information transfer between us and the relevant document issuer for the purpose of confirming whether your details match official records. The relevant government department may engage third-party service providers to operate and maintain components of this identity verification system. Those providers are required to comply with applicable privacy and security. requirements so that any use or disclosure of personal information is limited to defined purposes, including:
(a) for the purposes of performing services under their contract with the government department; and
(b) to comply with any lawful request made under applicable privacy legislation. The relevant government department is authorised to operate identity verification services for the purpose of verifying individuals’ identities under the IVSAct.

How will the document issuer handle your personal information?
If you choose to proceed, your personal information will be shared (via the government identity verification system) with the government agency that issued your identity document so the agency can compare it against their official records. These agencies already hold your personal information as part of their official records, and handle that information in line with their own privacy policies and legal obligations.

What happens if you don’t provide your personal information?
You do not have to agree to verify your identity documents through an electronic identity verification process. However, if you do not provide the personal information we require to verify your identity, we may not be able to provide you with the services.

Other disclosures
Where necessary, we may disclose your personal information to third parties, including: categories of intermediary service providers involved in the identity verification process who may receive your identification information to make or receive a verification request, such as:   
service providers that connect us to the government identity verification system;      
and  identity service providers;  
law enforcement agencies
in certain circumstances where we are authorised or required to do so.

Government Verification Assistance Service
In some circumstances, we may require additional support to complete identity verification. Where this occurs, the relevant government department may collect and handle your personal information for the purpose of assisting with verifying your identity document(s), including by sharing information with the relevant document issuer where necessary.This type of collection and disclosure may be authorised under applicable privacy laws and the IVS Act.

Where the identity document(s) being verified include information about other individuals(for example, a Medicare card covering multiple people), it is assumed that you have notified those individuals and obtained their consent to disclose their information for identity verification purposes. Any personal information of other individuals will otherwise be managed in the same way as your personal information. There maybe circumstances where personal information is disclosed overseas (for example, to recipients located in New Zealand) where verification support is requested by New Zealand government agencies or private organisations.If you do not provide your personal information where verification support is required, the government department may be unable to assist in verifying your identity document(s).
